Who these terms apply to: These terms govern use of Sport Portal by schools, school sport coordinators, district coordinators, and region coordinators in Australia. By creating an account or using the Service, you agree to these terms on behalf of your school or organisation.
Sport Portal is a school sport management platform operated by Luck Dragon Pty Ltd (ABN 64 697 434 898) ("we", "us", "our"). The Service includes sportportal.com.au, schoolsportportal.com.au, carnivaltiming.com, and any associated mobile or desktop applications.
The Service allows schools to manage carnival entries, publish results, coordinate regional and state sport programs, and provide online event timing tools.
To use Sport Portal, you must:
You are responsible for maintaining the security of your account credentials. You must notify us immediately at info@sportportal.com.au if you suspect unauthorised access to your account.
One account per school is the default. Additional coordinator accounts may be created within the permissions of your plan.
Schools, district coordinators, division coordinators, and region coordinators who sign up during 2026 receive the following for free in 2026:
By accepting the 2026 founding offer, you commit to continuing on the 2027 pricing structure when it takes effect. If you do not wish to commit to 2027 pricing, standard setup fees apply from the start.
Pricing may be updated with at least 60 days' written notice to account holders.
Invoices are due within 30 days of issue. Payments are processed via Stripe. Schools using purchase order systems may contact us to arrange invoicing. Accounts with overdue invoices may be suspended after 30 days' notice.
If you are not satisfied within the first 30 days of a paid subscription, contact us for a full refund. After 30 days, refunds are assessed on a case-by-case basis. Annual fees are not pro-rated on cancellation.
You agree to use Sport Portal only for lawful purposes in connection with running school sport programs. You must not:
Schools are responsible for ensuring they have appropriate authority and consent to enter student information (first name and year group) into Sport Portal. This includes compliance with:
We act as a data processor on your behalf for student records. You remain the data controller responsible for the lawful basis for processing. Our data handling obligations are set out in our Privacy Policy.
Student data is not shared with other schools, used for advertising, or disclosed to third parties except as described in the Privacy Policy.
The Sport Portal software, design, and content are owned by Luck Dragon Pty Ltd and are protected by Australian copyright law. Your use of the Service does not grant you any ownership rights in the platform itself.
You retain ownership of all data you enter into Sport Portal (school records, student results, event data). We are granted a limited licence to store and process that data solely to provide the Service to you.
You grant us permission to use aggregated, de-identified statistics (e.g. "over 10,000 carnival entries managed") for marketing purposes, provided no school or individual is identifiable.
We aim to maintain 99.5% uptime excluding scheduled maintenance. Scheduled maintenance will be notified at least 48 hours in advance where possible, and will be scheduled outside of typical carnival season (Term 1 and Term 3 in most states).
Support is available via email at info@sportportal.com.au. We aim to respond to support requests within 1 business day during the Australian school term.
We do not guarantee that the Service will be error-free or uninterrupted, but we will make reasonable efforts to restore service promptly in the event of an outage.
To the maximum extent permitted by Australian law, our total liability to you for any claim arising from use of the Service is limited to the fees you paid in the 12 months preceding the claim.
We are not liable for: indirect or consequential loss; loss of data caused by your own actions; errors in results or draws caused by incorrect data entry; or service unavailability during events not covered by our SLA.
Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under the Australian Consumer Law.
The Australian Consumer Law may provide guarantees that cannot be excluded. Where those guarantees apply, our liability is limited (to the extent permitted) to re-supply of the service or refund of the fees paid.
You may cancel your account at any time by emailing info@sportportal.com.au. Upon cancellation, your data will be retained for 90 days and then permanently deleted.
We may suspend or terminate your account if you breach these terms, fail to pay overdue invoices after notice, or use the Service in a way that harms other users or the platform. We will provide reasonable notice unless the breach is serious (e.g. security threat or fraudulent activity).
On termination, you may request an export of your school's data within the 90-day retention window.
We may update these Terms of Service from time to time. Material changes will be notified to account holders by email at least 30 days before they take effect. Continued use of the Service after that date constitutes acceptance of the updated terms.
The current version of these terms will always be available at sportportal.com.au/terms.
These terms are governed by the laws of Victoria, Australia. Any disputes are subject to the non-exclusive jurisdiction of the courts of Victoria. We will always attempt to resolve disputes by negotiation before resorting to legal proceedings.
